Overview
A prestigious, accredited educational institution of international standards requested KTree for a state-of-the-art solution for document management. They needed a comprehensive, but easy-to-use, solution for streamlining the school’s administrative work, managing records and managing growing volumes of student data.
Requirements
We faced a number of challenges in optimizing the solution to meet the school’s requirements but successfully implemented the modifications and functionality required
LDAP Functionality
As Alfresco, by default, has limited functionality to synchronize information of LDAP users with the Alfresco user repository, we extended the Alfresco user functionality to store more LDAP information in the Alfresco application.
SSO Functionality
We succeeded in providing SSO (with CAS) for all the Alfresco modules, though by default this is provided only for the Alfresco Explorer and Share modules. To provide SSO to all Alfresco modules, we took the default Alfresco authentication subsystem, NTLM, and used chaining to connect all the modules. After all source modifications, we were able to provide SSO for all modules, but only for local Alfresco users, not for external users, such as LDAP users.
Customized Reports:
Customized reports were required in three main categories (User Reports, Document Reports and Workflow Reports) and the reports were to support three different formats (.pdf, .xml, and .xls) and different charting styles such as a Table format, Pie and Bar chart. Weekly and Monthly reports out of Alfresco were to include Open Workflows, Orders, Users and Documents.

- School authorities can upload files through the Web-based interface of the Alfresco Records Management (RM) module by simply copying the files straight from their desktop.
- The process of managing records has been simplified by tools in the RM module, which automatically number and classify records.
- The overall workflow and staff productivity has improved as time is no longer lost in maintaining paperwork.
- The Alfresco Explorer module provides a web-based user interface providing document management, collaboration, and administration capabilities. The module also allows search across the captured content.
- The Alfresco Share module provides a rich web-based collaboration environment for managing documents, wiki content, blogs and more.
- The Alfresco Records Management module is an interface for storing and managing records in the Alfresco Share collaborative environment.
